JOB SPECIFICATION 

POSITION: Child Nutrition Administrative Assistant 

DEPARTMENT: Operations 

LOCATION: Great Hearts NTX Home Office 

REPORTS TO: Director of Child Nutrition  

 

Primary Purpose: To assist the Director of Child Nutrition with the communication, organization, and management of routine work in the Child Nutrition department.

Qualifications: High School diploma/GED

Experience:

-        Experience in school district child nutrition programs preferred.

Major Responsibilities/Duties:

-        Manage the Child Nutrition email account – respond to parents and campuses regarding mischarges, account assistance, and general questions.

-        Process Free and Reduced Lunch Applications and coordinate the communication for Meal Accommodation requests.

-        Create, schedule, and deliver Program communications – emails, signs, flyers, newsletter blurbs, and required program notifications.

-        Assist in on site campus monitoring, troubleshooting, technical assistance, and compliance for the DFW campuses.

-        Communicate with campus personnel (Headmasters, Directors of Campus Operation, Facility Techs, and meal vendor staff) regarding program needs and requirements.

-        Support the procurement process by researching products, initiating quotes, and managing vendors.

-        Compile and maintain program records and documentation.

-        Actively engage in actions that contribute to the overall mission of Great Hearts Texas within the Child Nutrition Program

-        Work independently with remote supervision through video and voice calls, texts, and emails

-        Maintain friendly, customer service driven interactions with students, teachers, administrators, co-workers, and vendors.

-        Other duties as assigned by the Director of Child Nutrition.

Special Knowledge/Skills:

-        Knowledge of Texas Department of Agriculture and USDA rules and regulations for Child Nutrition preferred.

-        Strong communication skills – written, oral, conflict de-escalation, etc.

-        Strong organizational and interpersonal skills.

-        Ability to interpret policies, procedures, and data.

-        Proficient in MS Word and Excel.

-        Proficient level of technical skill regarding computers and applications, including basic troubleshooting and problem solving.

-        Must have reliable transportation.

 

 

Work Environment:

-        Hybrid: Mix of in office for meetings, on campus for site visits, and work from home.

-        Travel: Light/Moderate travel among the campuses in Fort Worth, Arlington, and Irving. On campus visits may be required with short notice. Minimal travel to San Antonio (1-2x/year) may be required for annual training.

-        Training: Texas Food Manager’s certificate is required. Continuing Education through the area ESC throughout the year, in person and online, as required and to understand TDA rules and regulations is expected. (All training is provided without personal cost.)

-        Supervision: Director of Child Nutrition is located in San Antonio, so daily communication will consist of video and voice calls, Teams chats, texts, and emails.
