JOB SPECIFICATION

POSITION: Great Hearts Operations Intern                      

DEPARTMENT: Great Hearts America Operations            

LOCATION: Phoenix Home Office and Various Academies

REPORTS TO: Senior Director of Enterprise Operations

FLSA STATUS: Non-Exempt, Part-time/Temporary

 

Position Summary

The Great Hearts Intern is a part-time and temporary role that supports various Home Office departments during some of our busiest and most exciting times of the year. This position provides hands-on experience in administrative support, enrollment assistance, event preparation, and day-to-day project coordination that strengthens the family experience and operational excellence of Great Hearts America.

The Intern works under close supervision, contributing to projects by completing assigned tasks, maintaining accurate records, preparing materials, assisting with family-facing events, and supporting enrollment activities. While weekly hours are generally predictable, certain seasons may require increased availability on weekends or occasional evening hours to support special events. The ideal Intern is eager to learn, adapt quickly, communicate well with others, and is detail oriented.

 

Duties & Responsibilities

General Administrative and Project Support

  • Assisting with basic administrative tasks such as scheduling support, preparing materials, organizing files, and assembling packets.

  • Conducting simple research, tracking information, and updating documents or spreadsheets as directed.

  • Performing routine data entry accurately and consistently.

  • Supporting seasonal or peak-time projects under the guidance of department leads.

  • Collaborating with staff on assigned tasks and meeting timelines with support.

 

Enrollment and Family Experience Support

  • Assisting the team with lead follow-up by making calls, sending emails, and updating tracking tools.

  • Helping prepare materials for tours, info sessions, orientations, and other family-facing events.

  • Welcoming families at events, guiding sign-ins, and helping answer general questions using provided scripts or guidance.

  • Supporting the accuracy of enrollment records and data entry under supervision.

  • Helping families access STO or ESA information by sharing approved materials or connecting them to the appropriate staff member.

  • Supporting simple feedback collection from prospective and current families.

 

Event Planning and On-Site Support

  • Assisting with the setup, hospitality, and breakdown of enrollment events, open houses, and community gatherings.

  • Helping prepare event materials, signage, packets, registration lists, and check-in tools.

 

 

Additional Requirements

Type of fingerprint clearance: Must possess or obtain valid Arizona Department of Public Safety IVP Level fingerprint clearance card.

Physical functions: Requires but is not limited to standing, sitting, repetitious hand and body movements, bending, squatting, and reaching. May be required to move or position equipment up to 25 pounds approximately.

Travel required: May need to travel locally to the various academies within the Phoenix metro area.
