Job Summary:
The Administrative Specialist is responsible for providing administrative support for the day-to-day operations of five (5) functional areas under Supply Chain: Central Supply; Warehouse and Receiving; Mailroom and Purchasing. Responsibilities include supporting the Director with calendar management, scheduling/ organizing meetings, creating meeting agendas and documents, taking meeting minutes, and follow-up email distribution. Manages the work schedule for the department, assists with Vendormate system, and validates/analyses vendor prices.
Licensure and Certification:
Education:
- Bachelor’s degree in business administration, supply chain, or finance preferred
Experience:
- Minimum of two (2) years’ experience in Supply Chain or Purchasing in a health care setting highly preferred
Knowledge and Skills:
- Self-motivated. Ability to delegate tasks and work independently
- Demonstrates initiative and independent judgement in non-routine matters
- Must be an accurate typist, proficient in basic math, spelling and grammar
- Excellent verbal, written, and communication skills
- Demonstrate time management skills. Ability to prioritize workload and meet deadlines
- Knowledge of medical supplies
- Work cooperatively as a team member
- Must be able to quickly learn and become proficient with new software tools.
- Demonstrates advanced level of proficiency with Excel , Word, PowerPoint and graphics
Physical Demands – Clerical/Administrative Non-Patient Care:
- Frequent sitting and standing/walking with frequent position change.
- Continuous use of bilateral upper extremities in fine motor activities requiring fingering, grasping, and forward reaching between waist and chest level.
- Occasional/intermittent reaching at or above shoulder level.
- Occasional/intermittent bending, squatting, kneeling, pushing/pulling, twisting, and climbing.
- Occasional/intermittent lifting and carrying objects/equipment weighing up to 25 pounds.
- Continuous use of near vision, hearing and verbal communication skills in handling telephone calls, interacting with customers and co-workers and performing job duties.
