JOB SPECIFICATION

POSITION: Office Assistant, GH Christos (Part Time)                        

LOCATION: Gilbert, Arizona                          

REPORTS TO: Director of Operations                   

FLSA STATUS: Non-Exempt, Hourly

Duties and Responsibilities:  

The work of the Office Assistant supports the mission of Great Hearts Christos.  Responsibilities for the position include but are not limited to the following:

  • Implement all policies around enrollment and tuition-financial agreements.
  • Assist in enrollment and tuition collection activities.
  • Provide services of the front office, answering phones, meeting families, assisting faculty when needed.
  • Manage the mailing and collection of student entry documents, including emergency cards, locker assignments, library, and handbook signatures, etc.
  • Perform activities on the online payment system including maintenance, and refunds
  • Maintain all student files and records.  Ensure good record keeping by nurses in conjunction with the director of Nursing.
  • Receive and process records requests from schools to which students transfer.
  • Organize and oversee the annual distribution (and collection) of textbooks, materials, and lockers to students and faculty, including informative communications with parents regarding book deposits, ordering, etc.
  • Assist in the activities with the Student Information System (PowerSchool)
  • Manage the school calendar, including creation of the family and faculty calendar, meeting patterns, bell schedule, and regular updates to the online version.
  • Manage the ESSA program to include receipts and tracking
  • All non-academic ordering of supplies and furnishing for campuses.
  • Assist the Headmaster and Assistant Headmaster with any additional tasks as asked.

  Qualifications, Competencies & Strengths

 Education:  Bachelor’s degree required

The ideal candidate will have the following:

  • Commitment to the philosophy and mission of Great Hearts Christos, including, without limitation, publicly supporting the mission and committing to instilling Christian beliefs in Great Hearts Christos scholars.
  • Minimum of 3 years of experience in operational management.
  • Be a self-starter with an ownership mannerism and a strong sense of drive and urgency to meet established goals.
  • Ability to thrive in an academic entrepreneurial culture and interact with all levels of management and staff.
  • Ability to multitask, prioritize, and work independently and as part of a team, in a deadline-driven environment
  • Superior written and verbal communications skills; oriented towards detail, thoroughness, and accuracy.
  • Ability to develop positive and professional relationships with team members and constituents.

Additional Requirements

·         Type of fingerprint clearance: Must possess or obtain valid Arizona Department of Public Safety fingerprint clearance card.

·         Physical functions:  Requires but is not limited to standing, sitting, repetitious hand and body movements, bending squatting, and reaching.  May be required to move or position equipment up to 15 pounds approximately.
