POSITION: Receptionist

LOCATION: San Antonio, TX

REPORTS TO: April Hufty

STATUS: Part-time, non-exempt benefits eligible (possibility to become full-time next year)

Great Hearts Academies is a non-profit charter management organization (CMO) that operates classical, preparatory, K-12 public charter schools.  Our academies cultivate the minds and hearts of students through the pursuit of truth, goodness and beauty.  We currently serve over 20,000 students across our network, with over 6,500 at our Texas schools, and we expect that number to grow to thousands more. Duties & Responsibilities

Manages all front office traffic. In this capacity the receptionist will:

  • Direct visitors to appropriate team member
  • Receive deliveries and distribute accordingly
  • Check mail daily and distribute accordingly
  • Make trips to FedEx as needed
  • Keep reception area, break room, and conference rooms organized and presentable

Maintains copies of forms, events, and related information for the home office. This includes:

  • Organizing essential forms and documents for team members
  • Copying, scanning and emailing documents as needed
  • Updating and distributing GHTX Home Office Directory, Birthday List, and Work Calendar
  • Updating and distributing GHTX Campus Directory
  • Maintaining confidentiality of records as appropriate
  • Stocking supply closets and break room
  • Ordering office supplies
  • Ordering business cards

Serves as a liaison between team members, vendors, and parents. This includes:

  • Answers phone calls by providing general information and/or connecting call to appropriate team member /    taking messages
  • Greeting visitors
  • Checking main GH email, answering inquiries, and routing messages to appropriate department / employee
  • Booking conference rooms for team members
  • Exercise good judgment and excellent customer service
  • Scheduling meetings
  • Arranging catering for meetings
  • Other duties as assigned


Qualifications, Competencies and Strengths

  • High School Diploma or GED
  • Proficient keyboarding skills
  • One year of clerical in office setting or working in a school’s front office preferred
  • Excellent interpersonal communication skills and the ability to build strong relationships
  • Ability to organize confidential data efficiently.
  • Ability to communicate effectively and professionally with students, parents, co-workers and the public at large
  • Thrives in an entrepreneurial, high-growth environment; is comfortable with ambiguity and change
  • Seeks and responds well to feedback, which is shared often and freely across all levels of the organization
  • Works through silos and forges strong cross-departmental relationships in order to achieve outcomes

Type of clearance: Must complete Texas Department of Public Safety fingerprint clearance and background check.


Physical functions: Requires but is not limited to standing, sitting, repetitious hand and body movements, bending, squatting, and reaching. May be required to move or position equipment up to 50 pounds approximately.
