FLSA STATUS: Exempt, Full-time $52,000-62,000 annually

 

Position Summary

 

The Volunteer Manager is a dynamic role serving within the Great Hearts Arizona (GHAZ) Development Team, responsible for overseeing and enhancing relationships with on-site school volunteers within the PSO as a facilitator, trainer and coordinator between GHAZ, academy Headmasters and on-site development personnel e.g. Family Giving and Community Engagement Officers. This role combines leadership, organizational, and communication skills to support the on-boarding, continuous training and alignment of PSO manuals and best practices for flourishing engagement between parent volunteers and academy priorities. The Volunteer Manager is responsible for filtering philanthropic opportunities driven by the PSO to ensure compliance to current PSO bylaws and manual best practices as well as plan and execute initiatives that strengthen the relationship between parents, the school, the regional office and the broader community.

 

Duties & Responsibilities

 

Leadership and Coordination

  • Act as the primary point of contact between the school administration, Family Giving Officers, and the PSO parent volunteers.

  • Facilitate regular annual/quarterly/or semi-annual meetings with PSO leads to discuss plans, progress, and opportunities for growth & support.

  • Collaborate with development and academy staff to ensure the implementation of the PSO manual and bylaws and facilitate challenges that may arise from time to time relative to competing goods scenarios.

  • Track and manage all interactions or contact meetings within the donor database to ensure proper documentation.

  • Collect and ensure up to date contact information for PSO leadership

  • Communicate at regular intervals with development staff, PSO leadership and headmaster on opportunities for success and enhancement of programmatic offerings that align to the current PSO manual.

     

Volunteer Onboarding & Continuous Training

  • Create and execute strategies to build healthy relationships with parent volunteers through excellent training and on-going continuous education of the GH mission, priorities and opportunities for philanthropic flourishment and community building at local academies.

  • Create volunteer job profiles as needed and conduct orientations to onboard new volunteers effectively.

  • Make recommendations as identified for volunteers with roles that align with their skills and the academy or region’s needs.

  • Design and deliver training programs to equip volunteers with the skills and knowledge they need to build strong communities at the local academy.

  • Provide ongoing support and recognition to ensure volunteer satisfaction and retention.

  • Organize workshops, seminars, and events to promote volunteer engagement as needed.

     

Communication and Advocacy

  • Foster open communication and trust among academy staff and PSO volunteers.

  • Act as an advocate for parent and student needs within the school community.

  • Develop and share newsletters, emails, and social media updates to keep the community informed around best practices for the alignment of collective goods.

 

Financial Oversight

  • Collaborate with the GHAZ finance office, PSO Finance Manager, and local PSO treasurers to develop and provide recommendation and insight to annual budgets appropriately as needed.

  • Ensure transparency and proper documentation of financial transactions when requested.

  • Give guidance to passive revenue fundraising efforts and ensure funds are allocated effectively to benefit students and the school community.

 

Program Development and Evaluation

  • Identify opportunities to enhance the volunteer program and PSO operations and structures.

  • Establish key performance indicators (KPIs) to evaluate the program’s success.

  • Solicit and analyze feedback from PSO volunteers, parents, and staff for continuous improvement.

 

 

Qualifications, Competencies & Strengths

 

Skills and Experience

  • Leadership experience, preferably in volunteer coordination, event planning, or nonprofit management.

  • Strong organizational, time management, and problem-solving skills.

  • Excellent verbal and written communication abilities.

  • Proficiency in volunteer management systems and basic financial oversight.

Additional Requirements

Type of fingerprint clearance: Must be able to pass fingerprint background clearance.

Type of fingerprint clearance varies by state: Must possess or obtain valid Arizona Department of Public Safety IVP fingerprint clearance card / Texas fingerprinting.

 

Physical functions: Requires but is not limited to standing, sitting, repetitious hand and body movements, bending, squatting, and reaching. May be required to move or position equipment up to 15 pounds approximately.

 

Travel required: May need to travel locally to the various academies within the Phoenix metro area.
