Position Summary:

The Bid Coordinator position coordinates and expedites all phases of the bidding process.  Duties include overseeing the printing and distribution of bid documents, maintaining up-to-date bidding documents, managing and updating current subcontractor databases, creating and setting up new projects, coverage calling, etc.               


What You Will Be Doing in This Role:

Preconstruction – Bidding / Buyout

  • Bid solicitation with local sub-contractors, suppliers, and trade groups – (Building Connected, iSqft, Blue Book, Builders Connect, etc).
  • Proposal information
  • Recording/distribution meeting minutes
  • Managing and tracking upcoming projects bidding on the Dodge Report
  • Occasionally needed for errands such as helping turn in a bid

Document Control:

  • Downloads or retrieves plans and/or specs for EMJ use, i.e. Architects, Engineers, Owners, etc.
  • Verification of completeness of documents (vs title sheet & spec book)
  • Posts plans and specs to online plan room during bid process for subcontractor download
  • Assists subcontractors having any issues accessing project documents
  • Manages and updates EMJ database of subcontractors, including updating of address, phone, fax, email, company contact
  • Creates subcontractor lists for new projects in order to send out the ITB   
  • Creation of Project:
    1. Viewpoint
    2. Procore
    3. Abacus (Printer Software)
    4. Building Connected Setup
  • Ordering of Prints
  • Management of Addenda                    

Calendar Updates

  • Owner Pre-Bid Day
  • Internal Pre-Bid Day
  • RFI Due-Date
  • Bid-Day
  • Weekly Updates

Additional Administrative:

  • Sends out a weekly bid list email to a select subcontractor list that includes details about upcoming bids, recently awarded projects and pending award projects along with a link to the bid documents
  • Scans EMJ binders for archival purposes, i.e. Estimator Notebooks, Bid Books, Monitoring Points, SWPPP, etc.
  • Phone coverage as requested

What You Will Need for This Role:

  • High School Diploma (or GED or High School Equivalence Certificate)
  • 1-2 years of experience in related position
  • Computer Skills using MS Office, Adobe Acrobat Standard, Basic AutoCAD, FTP Sites,
  • Well organized and able to accomplish a variety of tasks in an efficient and timely manner
  • Required training within first 3 months of employment: First Aid CPR & AED, Construction OSHA 10-Hour, New-Hire Safety Orientation – Parts 1 and 2, Hazard Communication/GHS and Accident Investigation & Reporting
