Position Description:  


Social Impact is seeking an Assistant, People & Culture, to facilitate the day-to-day human resources and organizational activities, including benefits administration, payroll support, onboarding & offboarding, Diversity Equity & Inclusion administration, and general operations of the People & Culture Division.  The ideal Assistant P&C is self-motivated, detail-oriented and can provide excellent customer service, manage and prioritize their work effectively, and demonstrate initiative, confidentiality, and responsibility with a positive and can-do attitude. The Assistant P&C will work in close collaboration with the entire People & Culture Division and will directly report to the Manager, People & Culture. 

Due to the COVID-19 pandemic, this is a remote position through September 2021. When SI determines that it is safe for staff to return to the office, the Assistant P&C will be based in the Washington, DC-area. 



Administrative Functions:  

  • Updating and maintaining HR files (paper & electronic), filing systems and trackers. 

  • Supports HR and benefits audit related research as needed. 

  • Prepares ad hoc reports from ADP (HRIS) upon request 

  • Assists in preparation and delivery of HR communication to employees.  

  • Accurate processing of HR transactions including HRIS data entry (SCORE & ADP), preparing payroll action forms (PAFs) and generating formal HR notices & letters to employees. 

  • Responds to staff inquiries and requests in a timely manner, troubleshooting emerging issues and forwarding to appropriate parties. 

  • Supports administrative needs of Diversity, Equity & Inclusion Council including the recording and dissemination of meeting minutes, meeting scheduling and follow-up/tracking of council tasks/deliverables as needed.  

  • Managing timely updates and tracking of staff celebrations via a shared calendar. 

  • Supports in developing and facilitating P&C-related presentations to inform staff.  

  • Maintains confidentiality and knowledge of P&C sensitive issues only sharing it with appropriate parties.   

  • Ensures proper security and disposal of confidential information, ensuring compliance with privacy laws and regulations. 


Benefits Management: 

  • Provide support to staff regarding administration of health & welfare benefits programs. 

  • Serve as initial point of contact for enrollment assistance in ADP for new hires and employees. 

  • Ensures new hires are enrolled on their benefits within the 30-day enrollment deadline.  

  • Submit enrollment/termination/change data to benefit broker. 

  • Conducts ADP/HRIS orientation and trains new hires on how to use ADP. 

  • Initiate COBRA notification for terminated employees. 

  • Conduct audits and reconciliation of health and welfare plans to ensure accuracy of monthly invoices, identifies issues, and resolves administrative problems. 

  • Processing invoices for vendors and updating invoice tracker. 

  • Assist with organizing and managing the annual open enrollments. 

  • Processes FSA Enrollments and updates. 

  • Supports benefits-related research as needed.  


Onboarding & Offboarding: 

  • Manage/create new hire profiles on HRIS Systems (Taleo, ADP, SCORE). 

  • Processes and facilitates new hire onboarding and orientation, including new hire paperwork as per the onboarding checklist.  

  • Responsible for new hire communication, scheduling orientation, collection of documentation, verification of I-9, background checks to ensure a smooth transition to the organization. 

  • Add new hire information on calendar for notification to all concerned parties. 

  • Coordinate with employees and other division team members to facilitate all end of employment process. 

  • Responsible for employee termination process – closure of applicable accounts, complete termination checklist, terminate benefit coverage, update calendar for termination. 


Required Qualifications: 

  • Bachelor’s degree in Human Resources or related discipline.  

  • Excellent customer service skills including organizing, prioritizing, and tracking of a wide range of administrative tasks.  

  • Excellent communications and interpersonal skills.  

  • Exceptional attention to detail.  

  • Excellent organization, time management, and follow-up skills.  

  • Demonstrated experience identifying and helping solve people issues. 

  • Highly motivated, adaptable and passionate about people work. 

  • Must be strong at multi-tasking and willing to work in a fast-paced environment.  

  • Ability to maintain confidential information.  


Preferred Qualifications: 

  • Knowledge of general practices across the HR spectrum. 

  • Proficiency in MS Office: Outlook, Excel, Word, PowerPoint and SharePoint.  

  • Exposure to Diversity, Equity and Inclusion initiatives or programs.
