Job Purpose

The Grants Associate, Partnership for Healthy Cities will be responsible for providing payment processing, contractual, and budget reporting support for the Partnership for Healthy Cities Program. The Grants Associate will have an opportunity to work with a global program team of staff and consultants based in the US, Latin America, Africa, and Asia.

 

This is a full-time position based in either our New York office or the NY Tri-state, where a hybrid, 2-day-per-week office schedule is in place. We offer highly competitive compensation and comprehensive benefits. The salary range for this position is $54,000 USD to $63,000 USD. The candidate must have authorization to work legally in the US at the time of hire.

 

Duties and Responsibilities:

  • Prepares and processes payment and per diem requests, verifies proper coding per agreement;
  • Communicates with program staff and vendors to solve invoices, payment requests, and per-diem inquiries;
  • Tracks all requests from the program team to the Partnership for Healthy Cities program invoices mailbox; 
  • Works with Finance to ensure partners and vendors are correctly set up in NetSuite when agreements are fully executed;
  • Creates purchase orders for all affiliated project agreements in NetSuite;
  • Manage document storage for payment and wire confirmations;
  • Documents proper payment processing procedures;
  • Update tracking documents regarding purchase orders, ending and complete payments, etc;
  • Reports status and pending responses for all outstanding payment requests every week;
  • Assists the Senior Grants Manager, Partnership for Healthy Cities in reviewing the Grants and Consultants information within the Power BI Dashboard;
  • Provides the program with payment status updates as requested;
  • Performs other related duties as required and assigned.

Qualifications:

Skills and Abilities - 

  • Intermediate to advanced expertise in MS Excel, including proficiency using pivot tables, V-lookups, and formulas;
  • Strong analytical and problem-solving skills;
  • Ability to maintain high standards of customer service through responsive and timely communication;
  • Extremely well organized and highly attentive to detail;
  • Able to manage multiple projects on strict deadlines;
  • Ability to work as part of a team, particularly in multi-cultural, multi-regional contexts.

Experience:

Required -

  • Minimum 3 years of progressive experience in accounting, finance, and grants management.

Preferred - 

  • Grant and/or sponsored project experience;
  • NetSuite or other ERP Software experience.
