Job Purpose:

The Deputy Director will collaborate across the organization to enhance operational processes, systems, and policies on a global scale. There will be a strong focus on risk management and global operational insurances. They will collaborate with global teams to refine operational efficiencies and procurement practices. The role demands a significant cross-functional collaboration in order to align processes and policies that enhance the organization’s organizational effectiveness. This position currently has no direct reports.

Vital Strategies will offer a competitive salary based on local market benchmarking in the candidate’s home country. The applicable salary range for the US is $134,000-$150,000 USD.

Individuals must be able to work core hours in EST or GMT time zones and must be located in a country where Vital Strategies has a country office or is legally able to work.(i.e. U.S., Brazil, or U.K.).

Duties and Responsibilities:

I. Risk Management and Compliance - 

  • Develop and sustain a comprehensive risk management framework in collaboration with senior leadership, maintaining a global risk register.
  • Support development of guidelines to support risk management, providing training and updates as needed to our global teams.

II. Procurement and Contract Management - 

  • Oversee procurement practices, managing analytical dashboards to ensure effectiveness and efficiency.
  • Drive the development and refinement of procurement policies and procedures, ensuring they promote best practice and efficiency while achieving cost savings.
  • Update and maintain comprehensive procurement policies and procedures, ensuring they reflect the organization's commitment to best practices.
  • Manage the Contract Management System with a focus on continuous quality improvement, collaborating with internal stakeholders to ensure it meets the evolving needs of the organization.
  • Provide training to staff on Vital Strategies’ procurement and contracting policies and procedures as well as on how to use the Contract Management System.
  • Standardize and refine procedures for contracting independent contractors in collaboration with Legal and HR.

III. Insurance and Portfolio Management - 

  • Manage all insurance renewals and portfolio strategies, ensuring effective coverage and cost-efficiency.
  • Coordinate all internal insurance enquiries.
  • Obtain any additional insurance coverages for special events and/or projects.
  • Build and maintain strong broker and vendor relationships, leading RFP processes and negotiations to protect the organization's interests.

IV. Process Improvement and Organizational Efficiency - 

  • Lead initiatives for business improvement within Finance & Administration division, focusing on streamlining, refining, and documenting organizational procedures.
  • Collect feedback, monitor enquiries, and assess metrics in order to inform and improve operational effectiveness
  • Work with VP, Global Operations in identifying large-scale opportunities for process improvement and engage team members in order to implement appropriate changes to yield impactful efficiencies.
  • Track industry trends in operational effectiveness and recommend options for Vital Strategies to consider.

Experience:

Required –

  • Minimum of ten years' professional experience, with at least seven years in global operations or a closely related field.
  • Proven experience in managing risk management frameworks.
  • Demonstrated experience in developing strategies and leading process improvement initiatives in a global context.
  • Experience with insurance portfolio management is highly desirable.
  • Experience working with global teams required, non-profit experience a plus.
  • Experience managing vendors of various disciplines

Working Conditions and Physical Requirements:

  • Candidates must be able to work core hours in either EST or GMT and must be located in a country where Vital Strategies is registered.
  • The position may involve up to 15% travel to various international locations, depending on organizational needs.
