The position is based in New York City with a hybrid work schedule, and the salary range is: $80,000 – $90,000 USD. The candidate must have eligibility to work in the U.S. at time of hire.

About Public Health Programs

Vital Strategies, in partnership with other global public health organizations, oversees programs to strengthen health systems and address leading causes of morbidity and mortality.  Public health programs include road safety, mental health, and activities to strengthen public health data systems and the use of public health data to guide policy and decision-making.  Activities are based in low and middle income countries and municipalities in Africa, Latin America, Asia and the Pacific.

About the Position

Vital Strategies is seeking a Grants Manager, Public Health Programs to provide grants management services to the Road Safety program and Environmental Health Division. This role provides the opportunity to support global programs managing a diverse and growing portfolio of donors.

Responsibilities include but are not limited to:

Financial Budget Management:

  • Ensure the accuracy, quality and timeliness of all financial transactions charged to assigned portfolio;
  • Completes all Finance Department budget and ad-hoc data requirements such as monthly cash flow reports, annual fiscal year and reforecast expense budgets, and subgrantee data requests;
  • Review and submits all contractee invoices and consultant/staff expense reports to Accounting for payment processing, working with Accounting to troubleshoot any problems that arise with payment execution;
  • Serve as primary finance contact for donors, completing scheduled financial donor reports/projections, budget submissions/authorizations, requests for financial information and audits;
  • Work with Data Analyst, Public Health Programs to update internal budget dashboard reports to provide project and divisional leadership with an accurate accounting of incurred commitments and expenses;
  • Inform business decisions by providing budget updates and projections to project and divisional leadership to inform business decisions;
  • Train Program staff on Finance Division procedures and budget codes to ensure submission of accurate reimbursements and expense reports.

Contracting and Contractee Compliance:

  • Draft and reviews contractual agreements as requested by program staff;
  • Provide orientation to contractors on matters related to their contracts and prerequisite Vital Accounting Department requirements for fund transfers, payment submission scheduling and expense/invoice documentation requirements;
  • Reviews financial reports from contractors, ensuring timely completion according to all terms outlined in their signed agreements;
  • Conduct risk assessments, or reassessments, of subgrantee contractors as determined by internal risk management policy.

General:

  • Assist Deputy Director, Public Health Programs Grants to ensure assigned portfolio compliance with internal policies and standard operating procedures;
  • Provide support to Program, Finance and Development teams to generate new grant budget proposals;
  • Assist in the review and development of Finance Division standard operating procedures;
  • Perform other duties as assigned.  

Education & Experience:

Bachelor's degree, with minimum 6 years of progressive grants management experience

Skills and Knowledge

  • Demonstrated experience in donor and sub-grantee management including donor reporting; grant close-out experience preferred
  • Demonstrated experience in creating budgets and proposal budgeting
  • High attention to detail and accuracy
  • Highly proficient in Excel
  • Strong writing and oral communication skills.
  • Ability to multi-task, provide courteous team support, and effectively manage time
  • Knowledge of USAID rules and regs preferred
