Vital Strategies’ Policy, Advocacy and Communication (PAC) team is seeking an Associate Project Manager to become the mover and coordinator of key projects. You’ll be working in a creative, ambitious and supportive team of passionate designers, communicators and strategists who are creating products that improve health for people around the world, managing key project schedules to bring engaging and informative works from idea to the public eye. You will have responsibilities that include both “hands-on” project management for key projects, such as our award winning TobaccoAtlas.org, and assisting managing progress on external communication projects across PAC, such as maintaining a central mechanism for tracking projects across teams. Reporting to the Vice President, PAC, you’ll work with our design, public relations, editorial and digital teams to ensure that we’re placing our resources and talent behind the products and strategies that have the biggest impact on our work and our brand.

Applicants must possess valid work authorization to work in the U.S. at the time of hire.  This position will be based in our New York city office.

Specific Duties and Responsibilities:

  • Assist PAC leadership in managing multiple projects and priorities to optimize resource allocation
  • Work across design, public relations, digital and editorial teams to monitor and track multiple projects through project management platform
  • Maintain functional schedule and reporting of major communications projects
  • Consolidate key external communications reporting metrics for quarterly reports
  • Assist external communications teams in project and design team tasks
  • Assist with design team in evaluating project duration, budget, and resources needed
  • Work with design team to create project schedule and milestones
  • Ensure project milestone and deadlines are kept and communicate expectations to project teams
  • Review project requests to determine schedule or resource changes
  • Communicate to project teams on potential issues and propose solutions
  • Gather and review content and assets for quality requirements
  • Prepare deliverables for stakeholder review
  • Schedule project or team related meetings such as kick-off, weekly or daily check-in, vendor calls, etc.
  • Serve as day-to-day contact for managed projects
  • Assist in preparation and tracking contract status for external agency and consultants
  • Report monthly status and weekly briefs on active projects
  • Assist with design team in basic formatting and edits in project files in Word, Powerpoint and Adobe suite
  • Identify opportunities in improving project workflow and processes between teams


Skills & Abilities:

  • Knowledge in design programs such as Adobe suite and Figma
  • Knowledge in using virtual whiteboard platforms such as Miro or others
  • Experienced in using a project management platform such as Monday, Asana or Trello
  • Creative and energetic team player



Required - 

  • 3 years of experience in assisting, coordinating, or managing projects within a design, PR agency or in-house team

Preferred - 

  • Prior experience in working at a design or communications related agency or in-house team is preferred
