OBJECTIVE AND MAIN TASK OF THE FUNCTION

 

In this position the Import/Export Coordinator is responsible to:

·         Pilot transportation of incoming shipments and coordinate receiving of the goods with the Warehouse Team

·         Track released orders on a timely basis and ensure on-time shipments to customers

·         Prepare export documentation to European and worldwide customers

·         Communicate in a proactive and efficient way at all levels internally with other departments and externally with our partners distribution of our products to customers worldwide.

 

TASKS

 

Main task:

·         Process daily shipments’ report for pick&pack in the warehouse

·         Create all relevant export documentation (commercial/proforma invoices, packing-lists, transport-orders, etc)

·         Create transport orders, AWB in the carriers “online” module

·         Coordinate with carrier and follow up with shipment process to ensure efficient, and on time delivery of the products

·         Conduct research and monitor transportation methods, rates and routes

   Follow up on the filing and electronic archiving of all required proof of export documents and eVV for all outgoing shipments and especially for preferential origin shipments

·         Ensure the correctness of shipments in general and in terms of benefit from free trade agreements preferential origin shipments

·         Follow up on rules and regulations and maintain the information and tariffs

     Processes freight claims and customer complaints

      Control freight costs and duties/taxes invoices to ensure billing correctness and accuracy

·         Collects and accumulate data and statistics used in monthly reports and carrier performance reports

·         Assist with monthly KPI preparation and communication

·         Assure import/export SOP and WI are followed and are up to date

 

 

REQUIREMENTS AND SKILLS

 

     Education:                                      Completed apprenticeship (EFZ), as

Commercial basic training (advantageous in an international or freight forwarding company)

 

Special Knowledge:                      Very good English and German skills (spoken and written),

Good computer skills (ERP, Diverse Ship Software, eVV systems, Edec Web, Microsoft Office tools)

 

Personality:                                   Solution oriented, performance driven and self-starter, “can-do” attitude to solve problems using previous experience

Good team player enjoying working in a diverse team of various backgrounds

Ability to work under time pressure and communicate in a clear and concise manner, both verbally and in writing.

Active, energetic, and decisive person, coordinate multiple priorities without losing details

 

Professional Experience:              3 years of working experience as import/export clerk
