Trinity Metro has an immediate opening for an Executive Assistant to provide professional and administrative support to two VP’s of Trinity Metro and associated departments. 

 

This position's responsibilities include:

  • Provides comprehensive support services to two members of the Executive Leadership team that ensures a professional, responsive and effective experience with the agency as a whole.
  • Provides sophisticated calendar management.  Prioritizes inquiries and requests while troubleshooting conflicts with little guidance; makes judgments and recommendations to ensure smooth day-to-day engagements.
  • Completes a broad variety of administrative tasks including: completing expense reports; composing and preparing correspondence, that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Manages phone calls, and prioritizes phone messages, emails and mail.  Handles all phone calls and visitors with grace and professionalism.
  • Approves expense reports and requisitions entered in the ERP system.
  • Researches, prioritizes and follows up on incoming issues and concerns addressed to the VP, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Provides a bridge for smooth communication between the VP's office and other internal departments; demonstrating leadership to maintain credibility, trust and support with executive team and senior management staff.
  • Works closely and effectively with the VP’s to keep him/her well informed of upcoming commitments and responsibilities by following up appropriately. Acts as a "barometer," having a sense of the issues taking place in the environment and keeping the VP’s updated.
  • Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the VP, some of which may have organizational impact.
  • Prioritizes conflicting needs; handles matters expeditiously, and proactively and follows-through on projects to successful completion, often with deadline pressures.
  • Works closely and effectively with the Staff Director to keep him/her well informed of upcoming commitments and responsibilities of VP as related to President and CEO.
  • Coordinates and performs special projects, as required.
  • Maintains confidential information.
  • Maintains regular and punctual attendance.
  • Makes recommendations to management to improve operations, decrease inefficiencies and streamline work processes; work cooperatively with all customers, internal and external.
  • Participates in company community activities to promote transit on off duty hours.
  • Performs other duties, as assigned.

EDUCATION

Bachelor’s degree with course work in Business Administration.

 

EXPERIENCE

Ten or more years of professional experience as a C-Suite Executive Administrative Assistant.

Any combination of experience, training and/or education that provides the required knowledge, skills and abilities may substitute for the required education.
