About the Role:

The recently launched Tobacco Control Accelerator Fund aims to help advance global tobacco control progress in several low- and middle- income countries. Under this fund Vital Strategies is providing grants and technical support to governments and non-governmental organizations in countries without any best-practice tobacco control measures in place or countries close to implementing all best-practice measures.

This is a full-time, New York City-based role, where candidates are expected to adhere to a hybrid (2-days per week in office) schedule. Vital Strategies offers highly competitive compensation and comprehensive benefits. The salary range for this position is $60,000 to $65,000 USD. The candidate must have authorization to work legally in the US at the time of hire.

Job Purpose:

The Program Associate, Tobacco Control will work under the supervision of the Director, Tobacco Control, Africa Region to support the administrative and operations needs of the Tobacco Control Accelerator Fund. The Tobacco Control Accelerator Fund will focus on providing grants and technical support to governments and non-governmental organizations in the Africa region.

Duties and Responsibilities:

General Administrative Support - 

· Prepare presentations and assist with creating and distributing documents, including assisting with the editing and formatting of project reports and related materials

Program Support - 

· Assist the Director, Tobacco Control, Africa Region in the development of grant rounds, including application and communication materials, review of applications, and support of negotiation coordination.

· Assist in coordinating meetings, managing communications, and providing support for country leads, and expert consultants to report country activities and carry out program activities

Operational support - 

· Support the scheduling, planning and logistics of meetings and events for the program; at times attending, taking notes and supporting the tracking of key action items and progress

· Support the program’s contracting and contract amendment process, including drafting contracts, and tracking of invoices and payments throughout a contract’s lifecycle

· Provide administrative support for HR-related activities (such as recruitment, onboarding) and operational activities (such as purchasing)

· Support the participation of staff, consultants and grantees in international conferences, including receipt of scientific abstracts/symposia submissions, coordinating invitations, travel logistics and registration, facilitating visa applications, supporting conference-related communications, etc.

Qualifications:

Education and Degree - 

· Bachelor’s degree preferred

Skills and Abilities -

· Excellent organizational, time management skills and attention to detail

· Proven ability to manage multiple ongoing tasks

· Excellent English, proficiency in French preferred

· Strong interpersonal skills with the ability to work with remote members of the team

· Ability to prioritize tasks and work efficiently

· Demonstrated sensitivity in handling confidential information

· Excellent computer skills; proficient user of Microsoft Office suite (Word, Excel, Outlook, PowerPoint)

· Ability to perform data entry using word processing, spreadsheet or database commands, and format materials

· Willingness and ability to work across different time zones

· A global outlook with a keen interest in current global affairs

· Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment.

Experience:

Required - 

· Minimum three years of professional work experience

Preferred -

· At least one year of working experience in public health or with an international non-profit

· Experience working collaboratively and remotely with internal and external team members to provide administrative support in a timely manner

· Recent experience using platforms such as Monday and Microsoft Teams

Working Conditions and Physical Requirements:

· Limited work-related travel based on program needs
