Job Purpose:
The Finance Manager, Action Fund (c4) is part of the accounting team based in our New York office and has responsibility for the accurate recording of invoices and processing of payments in our accounting system while maintaining compliance with regulatory and organizational policies. This role supports the Director of Finance in the preparation of financial reports, completion of audits and compliance filings for the Vital Action Fund (c4). Additionally, this position will support the process for timely and accurate closure of books, perform reconciliations, and manage compliance filings.
This is a full-time, New York City-based role, where candidates are expected to adhere to a hybrid (2-days per week in office) schedule. Vital Strategies offers highly competitive compensation and comprehensive benefits. The salary range for this position is $75,000 to $85,000 USD. The candidate must have authorization to work legally in the US at the time of hire.
Duties and Responsibilities:
· Review invoices received to determine accurate budget coding, relevant approvals, supporting documentation and ensuring compliance with internal policies and procedures, and IRS requirements.
· Record invoices in accounting system.
· Process payments by checks or electronic payments (ACH, Domestic Wires, and International Wires).
· Record payments in accounting system.
· Record internal bank transfers.
· Record Revenue Entries in accounting system, ensuring proper coding and that supporting documentation is attached.
· Maintain Revenue Tracker.
· Reconcile bank statements, credit card statements, travel agency invoices, inter-company and vendor accounts on monthly basis and record entry in books of accounts.
· Prepare and maintain a wide range of accounting, financial, and statistical records, logs, and files.
· Maintain and organize financial documents, contracts, and agreements to ensure completeness for compliance and auditing purposes.
· Assist in the completion of internal and external audits by providing necessary documentation, explanations, and supporting documentation.
· Facilitate the preparation and submission of compliance filings, including the processing of 1099 forms at the beginning of each year.
· Support the Controller in monthly soft close and hard close processes, ensuring accuracy and timeliness
· Support the Director of Finance in the preparation of financial reports and cash flow statements
· Assist in developing and improving internal accounting processes and systems to enhance efficiency and accuracy.
· Perform other relevant projects as assigned by the Director of Finance.
Qualifications:
Education and Degree -
· Bachelor’s degree in finance, accounting or business administration preferred
Skills and Abilities -
· Highly organized and detail oriented
· Strong analytical and problem-solving skills
· Strong computer skills; intermediate ability in MS Excel, including understanding of formulas and pivot tables
· Ability to work independently and as a team member
· Self-directed, ability to work with minimal supervision yet knowing when to ask questions
· Excellent communication and customer service skills, plus discretion with sensitive information and ability to maintain confidentiality
· Comfortable communicating with staff across different countries and cultures
· Critical thinking skills to apply general rules, but also catch inconsistencies
· Ability to build strong, ongoing, impactful relationships at all organizational levels and across a diverse range of cultural, generational, ethnic, racial, educational, and social backgrounds.
· NetSuite experience is a plus.
Experience:
· 6 years of professional experience, preferably in international development or public health
