Position:                     Assistant Coordinator & Online Lead Generation Support

Department:               Adult and Online Education

Status:                        Full Time (This is not a remote position)

Position Summary:

Coordinates registration, related documentation, and Colleague entries for registration; provides information to faculty on students; downloads student data and statistics to help with student questions or grievances; coordinates department forms and reports.  Ensures correct data entry of all academic transcripts into university database. This position will directly support admissions personnel handling incoming phone calls from applicants and potential applicants and contributing to the lead nurturance process as required by the admissions staff. This position is expected to come into the office 5 days a week at the main campus in Buies Creek, NC. Additionally, will be responsible for the administrative and operational functions of the Adult & Online Education (AOE) Dean’s office and supporting offices.                        

Essential Duties and Responsibilities:

  • Responsible for accurate data entry into Colleague of all completed transcript evaluations from Academic Counselors and Enrollment Facilitators. Supports clean data practices.

  • Assists in the accomplishment of administrative duties in maintaining a positive relationship with AOE and University main campus.

  • Greets visitors and receives incoming calls and responds to their requests for information or assistance and/or directs to the appropriate office or campus for assistance.

  • Maintains working knowledge of applicable administrative policies and procedures applicable to the AOE Programs and the Main Campus programs.

  • Coordinates with AOE Campus Counselors and Office Managers for AOE registration-related issues.

  • Assists with the AOE Dean’s Office administrative tasks as requested.

  • Queries student, faculty, and class information from Colleague and Informer (University database software).

  • Maintains the RYAT screen in Colleague for all AOE Campus locations; inputs dates for all term registration periods, grading periods, and add/drop periods.

  • Builds and maintains class schedule information in Colleague.

  • Serves as the Office Manager for the Online campus; maintaining faculty files, coordinating work schedule for part-time employee, entering all work-order requests to Physical Plant and Computing Services, maintaining the appearance of the office area and the Distance Education lab, maintains equipment in the department, and purchases all office supplies (including computers and other equipment).

  • Working in a cooperative, supportive relationship with admissions, marketing, and lead generation personnel to achieve enrollment goals.

  • Other duties as needed by the enrollment staff, such as applicant emails, student application transcript processing, new student retention support work.

  • Other duties as directed by the Adult and Online Leadership.

  • Maintain a professional appearance and demeanor at all times.

  • Uphold and abide by Campbell University policies and procedures, including but not limited to Title IX, and Information Security, including but not limited to; HIPAA (if applicable), FERPA and other state and federal mandates.

Education/Experience:

  • Associate degree preferred.

  • Must be customer-service-oriented and have the ability to work effectively as part of a team as well as independently.

  • Excellent written and verbal communications skills are essential.

  • Outstanding interpersonal skills via telephone are essential.

Knowledge, Skills, and Abilities:

  • Ability to communicate effectively to all groups through both oral and written channels

  • Strong interpersonal, organizational, and time management skills

  • Comprehensive computer skills, with the ability to learn and utilize new and emerging technology

  • Knowledge of Microsoft Word, Outlook, Excel, PowerPoint and standard methods of digital communication, including web/text/chat platforms

  • Demonstrate tact, a positive attitude, courtesy and discretion in dealing with trustees, faculty, staff, students, high-level university officials and the public.

  • Work independently as well as function effectively in a team and within a diverse group of people.

  • Exercise independent judgment in complex, new, and/or stressful situations.

  • Manage multiple, concurrent projects, and meet strict deadlines

  • Detail- Oriented, and willing to work in a changing environment.
