Position Summary.

 

Relief International is looking for a Team Coordinator – for the Program Development, Quality & Surge Support (PDQS) to support our varied portfolio of work across the organization. This is an exciting opportunity for a dynamic, motivated, and thoughtful individual with excellent organizational and operational skills and superb judgment to provide direct administrative support to Head of Program Development and Chief Officer of Programs in their day-to-day work and support for the entire International Programs division.

 

The Team Coordinator be proactive and take the initiative to identify opportunities and problems and devise solutions.  Bringing strong interpersonal skills to help implement those solutions with a strong sense of judgment, discretion, and tact. Able to work in a fast-paced office environment, which will on occasion require flexible working hours to support our global programs. This position has a sizable administrative component, making strong organizational skills and attention to detail essential.

 

The ideal candidate for this position will have a deep commitment to the humanitarian sector and the communities we serve and the ability to focus on details while prioritizing and completing multiple tasks in a skillful and timely fashion.

 

Key Responsibilities and Duties.

 

  • Manage, prioritize and improve the Chief Programs Officer workflow, including monitoring deliverables and deadlines for the CPO
  • Manage a busy calendar, schedule and prioritize appointments, and support travel arrangements for international and domestic travel
  • Organize all meetings and materials for the CPO and the PDQS Team
  • Manage and improve systems on a proactive basis to enable the team to work more efficiently
  • Take minutes at meetings and prepare and distribute next steps for follow up;
  • Facilitate meetings when appropriate
  • Perform necessary administrative functions
  • Assist in recruiting, hiring and managing the departments interns
  • Work collaboratively with CPO and Head of Program Development to support the work of the SMT and the leadership team
  • Organize special events (i.e. all staff meetings, senior team retreats etc.)

 

  • Execute Team special projects as needed;
    • Power of Attorneys;
    • Country Registrations;
    • Adhoc Board Support including report and communication prep

 

  • Visa Processing Support
    • Coordinate with International Program Manager and Executive Team to review and process Visa requests.

 

  • Organize and maintain paper and electronic files
  • Support the Programs Team SharePoint site with frequent updates

Experience and skills required for the role.

 

  • Degree in related field or equivalent work experience providing administrative or other kind of support within a fast paced demanding working environment;
  • Previous experience in communications, non-profit sector, operations and finance support a plus.
  • Excellent organizational abilities with strong skill managing multiple complex tasks;
  • Flexible work style with the ability to work under tight deadlines and with shifting priorities; as required, work flexiblily
  • Proven communication and interpersonal skills, working with diverse teams, located globally
  • Strong writing and proofreading skills
  • High level of professionalism with the ability to maintain sensitive and confidential information;
  • Track record of demonstrating sound judgment by making appropriate decisions and knowing when to take initiative;
  • Experience of using Microsoft Office applications, particularly Excel, SalesForce and SharePoint;
